KPI (Key Performance Indicator)

What is a KPI?

A KPI, or key performance indicator, is a measurable value that shows how well something is moving toward a goal. The word that matters is "key." Anything can be measured. A KPI is the small set of numbers a team agrees actually reflects success, the ones worth watching every week.

The line between a KPI and a vanity metric is whether you'd change a decision based on it. Pageviews going up feels good but rarely tells you what to do next. Monthly recurring revenue, customer acquisition cost, or activation rate point at action. A SaaS team tracking net revenue retention knows that when the number dips below 100%, existing customers are shrinking faster than they're growing, and that triggers a real conversation. Good KPIs usually pair a target with a timeframe and an owner, so the number means the same thing to everyone reading it.

KPIs only work if the data underneath is consistent. Two teams counting "active users" differently will argue about the chart instead of the problem. Definition comes before measurement.

Half the value is the conversation that forces a leadership team to say out loud what winning looks like.

From there we wire the KPIs into reporting that updates on its own, sourced from the same pipeline so the numbers reconcile. We've replaced spreadsheets that three departments maintained by hand with business intelligence and dashboards that agree with each other. When the data is trustworthy, KPIs stop being a reporting chore and start driving the meeting.
